JointHire Singapore Pte Ltd ("JointHire") is committed to protecting your privacy and the confidentiality of any personal data provided by you, in accordance with our obligations under applicable data protection laws and best practices.

This policy governs the collection, use and disclosure of personal data provided to us through our websites (including this site at https://japandesk.jointhire.com), by email, or in person.

By disclosing any personal data to JointHire, you are consenting (without limitation or qualification) to the use and disclosure of such data in accordance with this privacy policy.

What is personal data?

"Personal data" means data, whether true or not, about an individual who can be identified from that data, or other data which we have, or are likely to have access to.

The personal data we collect may include your name, telephone number, email address, postal address, employment history details, professional and educational qualifications, salary details, language proficiency, citizenship or residency status, marital status, and resume or application information.

How do we collect it?

We collect personal data when you upload it to our websites, submit an online application, sign up for the JointHire Talent Community, or provide it to us by email, postal mail, fax, or in person during consultations. We may also obtain data from publicly available sources such as third party websites, blogs, forums, social media sites and professional networking sites.

We may also collect technical data such as IP addresses, browser type, operating system, domain names, access times, and referring site addresses, which we use to analyse the use of our resources and improve our services.

Use of your personal data

Personal data collected by us will be primarily used for providing you with recruitment services. This includes:

• reviewing and analysing your data to assess your suitability for roles;
• providing job matching services and verifying the information you provide;
• providing you with career management or guidance services;
• allowing us to process and respond to any inquiries or feedback from you;
• informing you of events, industry updates or market developments;
• conducting market research and analysis and generating internal reports;
• managing our relationship with you and providing HR services.

We may also use Cookies through our websites to maximize your user experience. You can configure your browser to reject cookies, although parts of our websites may not function fully if you do so.

How do we disclose your data?

We keep disclosures of your personal data to third parties to a minimum, and make them where needed to provide our services or to comply with the law, including:

• to prospective employers, when you apply for a role or consent to your data being shared;
• to members of the JointHire group, our subsidiaries and third-party service providers, where necessary to provide our services;
• to referees, to verify your educational or professional qualifications and work experience;
• to clients, as aggregated statistical reports on our candidates and/or website users or visitors, without names or contact details;
• to professional advisors, under confidentiality obligations;
• to relevant recipients in connection with a proposed sale, merger, acquisition, joint venture, or transfer of assets;
• where required by law, or if requested by a government entity, or to prevent crime, or to ensure the rights, property and/or personal safety of any person.

Transfers of personal data to jurisdictions whose data protection standards are not comparable are kept to a minimum and made only when reasonably necessary.

How is your personal data secured?

Any personal data held by or on our behalf is stored on secure servers and with modern security measures in place to protect against the loss, unauthorized access or alteration, or misuse of such information.

Third parties that handle personal data on our behalf are subject to contractual confidentiality and security obligations. However, no method of storage or transmission can be guaranteed to be completely secure. You are responsible for keeping any username and password confidential, and should notify us promptly of any suspected breach.

Accuracy, validity and retention of data

We periodically review the personal data we hold to confirm it remains current and accurate, and retain it only for as long as necessary to provide our services, subject to our internal retention policies and applicable regulations.

Rights of access

We may request additional information and proof of identity to process a request, and a reasonable administrative fee may apply. We aim to respond within 30 days.

Complaints and queries

If you believe your data protection rights have been infringed, please contact the Data Protection Officer in writing with the details of your grievance. We will investigate and aim to respond within 30 days. If you are not satisfied with our response, you may contact the Personal Data Protection Commission.

Effective date, revisions and governing law

This policy took effect on 1 April 2018. We may update it from time to time in line with regulatory changes, technological developments and industry practices; revised versions will be posted on this page, and we may notify you of significant changes by other means such as email or a notification on our website.

This policy is governed by the laws of the Republic of Singapore.
